Packaging Specification Checklist: What to Share Before Requesting a Quote

A clear packaging brief helps a manufacturer recommend the right construction and prepare a more accurate quotation. It also reduces repeated questions during sampling and approval.

1. Product information

  • Product name and intended use
  • Powder, granule, pellet or irregular material
  • Bulk density and flow behavior
  • Sensitivity to moisture, contamination or light
  • Any sharp edges, oils or reactive characteristics

2. Filling requirements

State the target net weight, filling tolerance and approximate filled volume. Describe whether filling is manual or automatic, and provide the filling spout or valve dimensions when relevant. Mention the expected line speed and any dust-control requirements.

3. Bag construction

List the preferred material, dimensions, fabric weight or paper structure if known. Include coating, lamination, gussets, perforation, anti-slip treatment, liner and closure. If you are unsure, explain the performance problem instead of guessing a construction.

4. Closing and handling

Describe how the package is sealed and the equipment used. Add the pallet pattern, stacking height, lifting method and transport route. Photos of the current filled bag and packing line are often useful.

5. Printing and labeling

Provide artwork files, print colors, panel layout, barcode information and mandatory text. Clarify whether the design is final or needs adaptation to the selected bag size.

6. Performance and compliance

Share any drop, leakage, barrier or load requirements. If the packaging is intended for food, feed, hazardous materials or a regulated market, state the required documents and test standards at the beginning of the project. Requirements must be verified for the exact product and destination.

7. Commercial details

  • Estimated order quantity and expected repeat frequency
  • Need for samples or trial production
  • Delivery destination and preferred trade terms
  • Required delivery window
  • Packing method for empty bags

Use an existing sample when available

An existing bag can be a helpful reference, but it should not replace a written specification. Mark which features must remain and which problems need improvement. A sample plus actual filling data gives the clearest starting point.
